Donnés

On a daily basis, I work at Holm Foto in Næstved, a local photo shop with a wide range of services including printing, film development, and digitisation. 
A large part of our day-to-day work involves receiving and processing customer orders — ranging from digital prints in all sizes to film development, large-format printing, custom framing, and the digitisation of slides, negatives, Super 8 film, and video tapes.

To keep up with the digital age and create a more efficient workflow, I built Donnés — a bespoke order management system developed specifically for Holm Foto. The system is built from scratch in PHP, JavaScript and MySQL, and runs on our in-house NAS server, making it always available in the shop without relying on any external services.

Donnés handles all of our order types and features an automatic price calculator alongside a dynamic EAN barcode generator, which significantly speeds up the checkout process. Once an order is ready, a receipt is printed directly to our thermal printer via an API integration with our local PrintNode server.

Because the system is tailor-made for our specific needs, it is also straightforward to extend and build upon as the shop's requirements evolve.
The home screen is the natural starting point for all staff. From here, the order type is selected — digital print, large format, film, negatives, Photo-to-Photo, or one of the other categories such as framing, slides, tapes, and Super 8 film. The staff member logs in with their name, which is automatically attached to the order. The most recent order is displayed in a bar at the bottom of the screen, making it easy to retrieve or reprint a receipt if the customer returns.

From here, staff can view order details, edit existing orders, and export framing orders to the ADJ format used by our supplier. The overview serves as the primary day-to-day working tool for both the lab and the shop floor.

The customer registry provides a quick overview of all customers and their associated orders. If a customer requests to be removed from the system, their data can be anonymised or deleted entirely with a single click — in full compliance with GDPR. Staff can search by name or phone number and view the complete order history for any given customer.

The statistics module gives an at-a-glance view of the shop's revenue broken down by day, week, month, and year. It shows which order types generate the most turnover and which staff members have handled the most orders during a given period. A simple bar chart displays revenue over time, making it easy to spot busy periods or emerging trends.

It includes the order number, customer name and phone number, a full itemised breakdown of all selected products and prices, the start-up fee, and the total amount due. For film and negative orders, a Code128 barcode containing the order number is added at the top, allowing the lab to scan the order straight into their workflow.
